Staged AI implementation, priced before it starts

Start with a one-week Opportunity Map. Build the quick wins. Add a private assistant when the data demands it. Add agents when the process is proven. Each stage is fixed-price and documented for your team.

AI Opportunity Map

Know exactly which three AI projects will pay for themselves in your business, and what each one costs.

I spend two half-days inside your operation, walk the repetitive work with the people who do it, and map where hours and mistakes actually go. You get a staged plan with numbers, not a slide deck about "transformation".

What's included

  • Two half-day working sessions with your team (on site on the Treasure Coast, video elsewhere)
  • Inventory of repetitive work: intake, email, documents, scheduling, billing, reporting
  • Data-sensitivity map: what can use cloud AI, what must stay in the building
  • Top three quick wins ranked by hours saved and effort to build
  • Tool review: what you already pay for that can do more
  • Staged 90-day plan with fixed-price quotes for Stage 1

You walk away with

  • Written AI Opportunity Map (owner-readable, 8-12 pages)
  • Quick-win shortlist with estimated hours saved per week
  • Data handling rules your staff can follow
  • Fixed-price proposal for Stage 1
  • A 45-minute readout call with your leadership

Ideal for

  • Owners who know AI should be saving them time but do not know where to start
  • Firms whose staff already use ChatGPT informally
  • Practices with 5 to 75 people and real document volume
  • MSPs scoping AI for a client before committing

Stage 1

Quick-Win Automations

Two or three working automations that remove hours of repetitive work every week, running inside tools you already own.

The first build is deliberately small and visible. Inbound leads get triaged, intake forms fill your system, documents get summarized, invoices get processed, meeting notes become tasks. Staff see the time come back within the first month.

What's included

  • Two to three automations chosen from your Opportunity Map
  • Built on n8n, Make, Zapier, or direct integrations with your CRM, practice, or accounting software
  • AI steps use a model that matches the sensitivity of the data (cloud, private cloud, or local)
  • Error handling, monitoring, and alerts when something needs a human
  • Staff training session and a one-page runbook per automation
  • Two weeks of post-launch adjustments

You walk away with

  • Working automations in your accounts, documented
  • Monitoring dashboard or alert channel
  • Runbooks your team can follow without me
  • Before/after hours measurement for each workflow

Ideal for

  • Practices drowning in email, intake, and document handling
  • Teams that want proof before a bigger commitment
  • Businesses with an existing CRM or practice management system to connect to

Stage 2

Private Company Assistant

A company assistant that answers from your policies, contracts, files, and procedures, with your data on infrastructure you control.

This is where staff stop pasting client material into public chatbots. The assistant runs on Open WebUI when it fits and custom code when it does not, with role-based access, upload scanning, prompt-injection protection, and audit logs built in from day one.

What's included

  • Private assistant on your server, your cloud tenancy, or a managed private host
  • Your document sets ingested with retrieval and citations back to the source
  • Role-based access by department, matter type, or client
  • Upload scanning, prompt-injection protection, usage limits, and audit logging
  • Model choice matched to sensitivity: local open-weight models or private cloud endpoints
  • Admin runbook, handoff session, and staff onboarding

You walk away with

  • Working private assistant with your knowledge base
  • Access and safety controls your IT or compliance reviewer can inspect
  • Audit log and usage reporting
  • Deployment documentation and admin training

Ideal for

  • Law, accounting, and medical practices with confidential documents
  • Teams that need an approval path leadership, IT, or a privacy officer will sign
  • Businesses already running Open WebUI that need it hardened

Stage 3

Agents & Integrations

AI that acts inside your systems: drafts, files, updates records, prepares briefs, and routes approvals, with a human signing off.

Once the assistant knows your business, agents can do the work end to end: prepare a client brief before every meeting, draft and file routine correspondence, reconcile documents against your system of record, or run a review checklist. Custom development where off-the-shelf tools stop, backed by 25 years of enterprise engineering.

What's included

  • Agent workflows designed around one business process at a time
  • Integrations with your CRM, practice management, EHR-adjacent admin systems, or accounting platform
  • Approval gates, evaluation checks, and full action logs
  • Custom development in Python, .NET, or TypeScript when needed
  • Optional fine-tuning or multi-persona review panels when they earn their place
  • Support plan for the first 60 days after launch

You walk away with

  • Production agent workflow with approval controls
  • Integration code and configuration, documented
  • Evaluation suite and operating playbook
  • Handoff to your team or a care plan

Ideal for

  • Businesses that finished Stage 1 or 2 and want the next level of leverage
  • Operations with a clear, repeatable process worth automating end to end
  • Firms that want bespoke software, not another SaaS subscription

After launch

Care Plan

$1,500 - $4,000/month

Keep what we built working and keep finding the next win. Advisory, not managed hosting.

I deploy on your infrastructure and hand you the runbooks. Care plans are expert advisory and maintenance, not managed hosting, uptime SLAs, or hosting liability.

  • Monitoring and fixes for automations and the assistant
  • Model, tool, and security updates
  • Monthly review call: usage, results, and the next stage
  • Priority email and Slack support during business hours
  • Staff refreshers when your team changes

Questions owners ask

Frequently asked questions

Why start with a paid Opportunity Map instead of a free proposal?

Because a free proposal is a guess. The Opportunity Map is a week of real work inside your operation, and it produces numbers: which workflows, how many hours, what it costs to fix. The fee is credited toward Stage 1, so if you proceed it costs nothing extra.

What does "typical range" mean?

The range covers a bounded scope with clear assumptions written into the proposal. More automations, more document sets, extra integrations, or custom development are quoted before work begins, never discovered after.

Do we need our own servers?

Not for Stage 1. Automations run in the tools and accounts you already have. For a private assistant (Stage 2) you can use a server you own, your own cloud tenancy, or a managed private host I set up for you. The Opportunity Map recommends which.

Do you use Open WebUI or build custom?

Both. Open WebUI is an excellent private assistant platform and I am a top-3% contributor to its community tools. When a workflow needs something it cannot do, I write the code. Twenty-five years of .NET, Python, and TypeScript.

How is this different from ChatGPT Team or Microsoft Copilot?

Those are general tools your staff still have to operate by hand. This is implementation: automations wired into your systems, an assistant that knows your files, and controls a reviewer can inspect. Where Copilot fits, I will tell you to use it.

Can we combine or skip stages?

Yes. Firms already running Open WebUI often start at Stage 2. Businesses with a clear, repeatable process sometimes go straight to Stage 3 after the Opportunity Map. The stages are a sensible default, not a rule.

What happens after the engagement ends?

Every build ends with runbooks, training, and a handoff so your team owns it. A care plan is available if you want monitoring, updates, and a monthly review, but it is optional.

Do you work outside Florida?

Yes. Most engagements are remote across the United States. On the Treasure Coast (Fort Pierce, Port St. Lucie, Stuart, Vero Beach) I can do the Opportunity Map sessions in person.
